Making Space Therapy - Privacy Notice

At Making Space Therapy, I take your privacy seriously. This notice explains what personal information I collect, how I use it, where it is stored and your rights in relation to it.
What information I collect
I collect information that is necessary to provide therapy and manage my practice.
This may include your name and contact details, information you choose to share about your wellbeing, mental or physical health, neurodivergence, relationships and circumstances, as well as appointment information, therapy notes and payment records.
Some of this information is sensitive, including information about your physical or mental health. I only collect and use this information where it is relevant and necessary.
How I use your information
I use your information to:
  • provide and manage your therapy
  • communicate with you about appointments
  • maintain appropriate therapy records
  • manage bookings and payments
  • respond appropriately to safety or safeguarding concerns
  • meet my professional, legal and regulatory responsibilities
I only collect information that is relevant and necessary for these purposes.
Where your information is stored:
reMarkable Paper Pro and reMarkable Cloud for brief handwritten therapy notes. These notes are identified using your initials rather than your full name.
Zoom and Microsoft Teams for online therapy sessions. Sessions are not recorded.
FreeAgent for accounting and financial administration.
BACS for receiving payments. I do not collect or store your card details.
​Google Workspace (Gmail) is used for professional email and communication relating to your therapy and appointments. My account is protected with two-step verification.
 
I take appropriate steps to keep your information secure, including password protection, encryption and two-step authentication where available.
Confidentiality
What you share in therapy is confidential, subject to the limits explained in your Therapy Agreement.
There may be circumstances where information needs to be shared without your consent, for example where there is a serious concern about someone's safety, a safeguarding concern, or where I am legally required to do so.
Where possible and appropriate, I will discuss this with you beforehand.
Therapy notes
I may make brief handwritten notes during or following sessions.
These notes use your initials rather than your full name and are stored separately from your identifying information.
Identifying information is stored within Zanda Health, separately from your handwritten therapy notes. Your handwritten notes are stored on my password-protected reMarkable Paper Pro and associated cloud storage.
Who I may share information with
Where necessary, relevant information may be shared with:
  • my professional supervisor
  • healthcare or other professionals involved in your care, where appropriate
  • safeguarding or emergency services where necessary
  • professional or regulatory bodies where required
  • service providers who help me run my practice
  • legal or governmental authorities where I am legally required to do so
I aim to share only the information that is necessary for the particular purpose.
How long I keep your information
I normally keep therapy records for seven years after therapy ends.
Some information, such as financial records, may need to be kept for a different period to meet legal requirements.
When information is no longer needed, it will be securely deleted or destroyed.
Your rights
You have rights in relation to your personal information, including the right to:
  • ask what personal information I hold about you
  • request a copy of your information
  • ask me to correct inaccurate information
  • ask me to delete information in certain circumstances
  • ask me to restrict how your information is used in certain circumstances

Complaints
If you have concerns about how I have handled your personal information, please contact me first so that I can try to resolve them. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data protection regulator.
